Studio & Office SOP

PROCEDURE FOR IN STUDIO & IN OFFICE
FOR ALL EMPLOYEES AT PT. EVA SCOLARO ENTERTAINMENT

IN STUDIO
The Procedure for Studios
  1. Open the door
  2. Put outside the Shoes rack, Jacket hanger and door mat
  3. Turn on the mixers
  4. Turn on Air Conditioners
  5. Turn on all lights in the studio and toilets
  6. Turn on the coffee machine
  7. Prepare sign in sheets / temp check / sanitizer spray
  8. Air Dispenser should be on at all time (hot & cold function) no need to turn off
  9. Double check paper cup and coffee sachets are enough for the parents or coach who wants a cup of coffee during the class is running.
  10. Double check the towel stocks in the rack 
  11. Double check toilets cleanliness and amenities in complete. If you notice a problem report to the cleaner WA group
  12. Double check Aqua Galon is enough and we have spare. If not please order.
  13. Prepare keyboard and microphone when we have singing class
  14. Prepare pompom when we have ballet tots class
  15. Prepare Durag when we have breakdance class

Sales Process

WALK IN STUDENT; TRIAL CLASS 100k client must complete the SIGN UP sheet as accept terms and conditions to participate in class.
WALK IN STUDENT WANTS TO ENROLL: Complete SIGN UP form and send INVOICE REQUEST 
EXISTING CUSTOMER WANTS TO ENROLL:  send INVOICE REQUEST 
EXISTING CUSTOMER WANTS TO ENROLL & PAY CASH AT STUDIO:  write manual receipt & send INVOICE REQUEST 
INVOICES will be issued within 2 working days

 
 
Parents, students and coach are walking into the studio
  1. Greet them
  2. Advise them to follow COVID-19 Protocol
  3. Advice the students to put their belonging on the rack
  4. Write students name on sign in sheet & check the name of he student is correct
  5. Advice the parents to settle the payment before the class  start
 
The Class is running
  1. Double check the student’s in class is same on list attendance.
  2. Inform the admin office who are absents class if there is any
  3. Double check the parents payment
  4. Taking the students picture and some video
 
When we received t walking parents or students
  1. Greeting the parents or students
  2. Introduce yourself and ask their name
  3. Offer help
  4. Giving them our information on flayer
  5. If the parents want more details information and enrolling, we have ask them to advice their name, kids name and WhatsApp number
  6. If we got their details, inform to admin team to be continue follow up
 
The class is finish
  1. Informed the students to take all their belongings
  2. Open the door, and greeting them to “see you next week” to the students and parents
  3. Advice the coach sign the sign in sheet
  4. Take the picture of sign in sheet and send it to admin group/ private coach group
  5. Settle the payment transaction in EDC machine
  6. Turn off the keyboard and mike. Put it again in the corner near the uniform rack
  7. Turn off the AC
  8. Turn off the coffee machine
  9. Turn off the mixer
  10. Turn off the lamp of studio and toilet
  11. Put inside the Shoes rack, Jacket hanger and Door mat
  12. Double check again if there is any left.
  13. Lock the door

IN HEAD OFFICE 
  1.  Office and Studio Staff are to wear uniform studio tshirt / office t-shirt Monday – Friday - tshirts are provided by office.
  2.  If you have plain white shirt or plain black shirt (not polo shirt) this is also acceptable as uniform.
  3.  Headphones are not to be used in the office or studio unless making a phone call
  4.  Pease ensure at the end of your workday any coffee cups / plates are put downstairs for the cleaner not left on your desk.
  5.  Any personal phone calls to be made on your lunch break.
  6.  Should you need to do any personal errand or task, these are to be done on your lunch break, or before or after work.
  7.  Should you require a day off. please complete the request for leave form and submit to office manager for review.
  8. Should you have any concerns or feedback please complete the feedback form http://www.talentstudiobali.com/feedback.html
  9. Bullying, gossip and negative talk on any topic will not be tolerated in the office and is a formal written warning.
  10. Should you want to submit anonymous feedback this can be done via the feedback link. 
  11.  Absent days without doctors note or prior approval are unpaid.
  12.  If you are the last staff member to leave the office please turn off all AC's & lights.
  13.  The lunchroom should be clean at all times as it doubles as our conference room.
  14.  Please ensure no old food, or other are left in the fridge.
  15.  All plastic lunch containers are to be taken home or thrown away.

  • all manual receipts must have a invoice request sent
  • once invoice is paid on QuickBooks, studio accounts to forward to the client
